How to make MS-Word Documents undeletable/un-movable and read-only? I need to move a folder with a few word documents onto the shared drive so that others can also access it, but they must only be able to read the documents. They shouldnt be able to change it, move the folder/file to another location, nor delete the folder/file. How is this done?

This should be done on the Folder level Sriram and not the content level. To do this on a folder level you will need to be Administrator of the machine. If you are then make the folder shareable to a particular user group(or users) and give them Read only access.

you can convert them to pdf to make them read only. (another solution) But it will be hard, because even if it is read only, one can just do a cntrl+(a,c,v) to copy it. for read only, you can probably do what lurker said. (another option would be to have a copy open somewhere, so the file cannot be deleted until that copy is closed, windows will say file is in use.. altho i am not sure about this one. Best would be to set admin privilages to the folder. )

Hey MM If you are the admin of the machine where the shared drive is located, create a user group (iam assuming it is windows), with no write priveleges and add the users who want to access the file to this group. They cant write or create new files in that directory, but this does not stop them from doing "save as" in the word menu and storing it locally. Just curious, cant you just print it into pdf and put in the shared drive?

Well, I dont think I am an administrator.. I have been given access to the folder and am also the owner of the folder ( obv, coz I created it), but am not the admin.. Reg the pdf, its not suitable, coz files will be constantly added to the shared drive. We cant possibly go there and convert a word document into pdf, every time a new document is added.

If you are handling only few documents then shared folder option should work fine as everyone suggested above. But if you have group of users, adding, editing, viewing office document frequently and you need a proper control, security and audit on these documents then a proper solution like SharePoint will work best. As most of the admin task can be done easily and it exposes lot of things out-of-the-box. If your shared folder is on Win2003 server then WSS3.0 is a free service that you can install on the server and deploy an office solution using Windows SharePoint services 3.0. I doubt that your requirement is that big though.

or easiest and the best way to control' date=' get a[b'] free document management system there are tons for free available on the web.
MM, Is this for your company (at work requirement) or personal? If personal, then what triam suggests may work for you, I doubt if you can implement the above for work - depends on policies.

Why would I do shared folders and file access permissions at home? :D

SharePoint isnt an option. Its not such a priority job. Essentially, there's shared drive to which only my Boss and I have access to, right now. I will be adding a few documents to it now and later, lots more docs, for other people to come, open the files and view 'em. But they shouldnt be able to either modify, delete or move the files or delete the folders altogether.

Now really how important is that porn file' date=' jeez MM[/quote'] :hysterical: That reminds me of the golden days in Bombay SEEPZ when we had a whole truckload of such pictures loaded on the FTP server in one hidden folder. This would specially come in handy when one had to do a night shift. No wonder that many chaps would whole heartedly agree to do night shift then!

^^ Well that only added to the excitment I suppose. We tried to be smart about it, hid the pictures in the folders noone would ever look, cleaned up the temperory files on our computer, rebooted etc etc. Still I would be lying that atleast initially it was a trembling fearful feeling. Fascinatingly enough it was also the most erotic.

You won't believe the rubbish we find stored in people's home directories at work.
